Bringing Enrollment, Student Management, Scheduling, and Payments into One Connected System
Running a growing language school involves far more than delivering lessons. Every class depends on accurate student records, parent communication, teacher availability, classroom coordination, payments, documents, and ongoing administration.
EasyEnglish, a private language school in Plovdiv serving students of all ages, managed these activities through spreadsheets, paper records, and disconnected manual processes. As the school grew, maintaining consistent information across students, classes, payments, and schedules became increasingly difficult.
EasyEnglish partnered with EVLabs to replace this fragmented setup with a single modular cloud platform covering the school’s complete operational workflow.
The solution combines a public website, online enrollment, student and parent records, class scheduling, communication, payments, and document generation. Rather than adding another standalone tool, the project created one connected environment for both daily administration and the family experience.
The platform was delivered through a fixed-scope, fixed-price engagement, giving the school clear visibility over the functionality, delivery phases, and overall investment.
Before the project, EasyEnglish relied on manual and disconnected processes to manage students, classes, payments, documents, and its public website.
Information had to be entered and maintained across multiple files and paper records, increasing administrative effort and making it difficult to establish a consistent view of school operations.
Student details, parent information, learning levels, test results, documents, and internal notes were maintained separately.
Without a central registry, staff had to review multiple records to understand each learner’s history and current status.
Organizing classes required coordinating students, groups, teachers, classrooms, and available time slots.
Schedule changes were tracked and communicated manually, increasing the risk of errors and making day-to-day planning more time-consuming.
Prospective students and parents had no complete online experience for exploring courses, reviewing pricing, finding answers, and submitting enrollment details.
Routine inquiries and enrollment steps therefore depended heavily on direct communication with the school.
Payments were managed separately from student records and class administration.
The school needed a clearer way to record online and manual payments, track outstanding amounts, and connect payment history with each student.
Certificates and official documents were created manually.
This added repetitive administrative work and made document preparation dependent on staff time rather than information already stored in the system.
Parent–teacher communication relied on manual follow-up.
Routine updates were not connected to scheduling or student management workflows, increasing the coordination required from the school team.
The project represented a significant digital step for EasyEnglish.
The owner needed certainty around scope, cost, and delivery, making a clearly defined fixed-price engagement essential.
The platform gives EasyEnglish one digital environment for managing its public presence and internal operations.
Prospective students and parents can:
The school’s team can manage:
Because these capabilities are connected, information can move through one workflow rather than being maintained across unrelated spreadsheets and paper files.
EVLabs designed and developed a modular education management platform tailored to EasyEnglish’s operational model.
The system brings together the school’s website, student administration, scheduling, communication, payments, and documents within one cloud-based environment.
The public-facing website gives families a clear entry point into the school.
It includes informational pages, course and pricing content, enrollment forms, login functionality, a chatbot, and a frequently asked questions section. Prospective students and parents can find essential information and begin enrollment without relying entirely on direct communication.
During discovery, the team also established which pages needed to remain editable and which could stay static, balancing administrative flexibility with implementation simplicity.
The CRM provides a single registry for students and their parents.
Each student profile can include learning level, documents, test results, and internal notes, giving staff a complete and accessible view of the learner’s history.
The platform centralizes the planning of:
This gives the school a shared operational view and reduces reliance on manually maintained timetables.
Automated email notifications support routine communication between the school, teachers, and parents.
Connecting notifications to the wider platform makes common updates more consistent and reduces manual follow-up.
A centralized library provides a structured place for course materials and editable content.
The rich text editor allows information and learning resources to be created and maintained directly within the platform.
The payment module supports both online and manually received payments.
Payment information remains connected to student and enrollment records, while automated reminders help the school manage outstanding amounts more systematically.
Official documents and certificates can be generated using information already stored within the platform.
This reduces repetitive preparation and improves consistency across administrative records.
The solution was built as a modular cloud platform rather than a collection of tightly coupled features.
New capabilities can therefore be introduced later without rebuilding the existing core.
The engagement followed a clearly defined scope, phased delivery plan, and fixed price.
This gave the school owner cost certainty from the outset and reduced the financial risk of a first major custom software investment.
EVLabs delivered the project in three focused phases, from discovery and scope definition through development, testing, and production rollout.
The project began with a focused review of the school’s website, administration, content, and operational processes. The team identified which website pages needed to be editable and translated the school’s manual workflows into clear platform requirements covering - student information, scheduling, communication, payments, document management. This phase established a shared understanding of the deliverables and how the modules would work together within the fixed scope.
The platform was developed as a connected system combining a public-facing experience with an internal operational core. Development began with the website and student CRM, followed by scheduling, communication, payments, and documents. Backend and frontend work progressed together to keep the data model, operational workflows, and user experience aligned.
The final phase validated the complete flow across all modules. Testing covered the public website, enrollment, student records, scheduling, communication, payments, and document generation before the platform was prepared for production rollout.
The first phase established the platform foundations.
Following discovery and confirmation of the website content model, the team developed:
In parallel, the student CRM was built to manage students, parents, learning levels, documents, test results, and internal notes.
Developing these areas together connected the public enrollment journey directly to the school’s internal student management process.
The second phase introduced the tools required for daily school operations.
The team developed class schedules, student groups, teacher and classroom assignments, and a shared materials library.
Automated parent–teacher email notifications brought routine communication into the platform workflow.
The payment and document module added support for:
At this stage, the platform expanded from an enrollment and records system into the school’s central operational environment.
The final phase brought all modules together for end-to-end testing.
The team validated workflows across enrollment, student management, scheduling, communication, payments, and document generation before preparing the system for production.
The modular architecture also established a foundation for future capabilities without requiring changes to the platform’s core.
